Email policy
This note explains how Waholi (operated by benstaydev) sends email, and how it complies with Japan's Act on Regulation of Transmission of Specified Electronic Mail (特定電子メール法) for any marketing or alert mail. Email is sent via Amazon SES (Tokyo region); see the Privacy Policy for data handling.
1. Two kinds of email
- Transactional email — sent because you took an action: email verification, password reset, "application received" (employer), "application status updated" (seeker), and "listing expiring soon" (employer). These are needed to operate your account.
- Job-alert email (opt-in marketing-type mail) — sent only if you create a job alert (a saved search) and confirm it. This is the category the 特定電子メール法 governs, and we handle it as below.
2. Consent — double opt-in (オプトイン)
We send job-alert email only to people who asked for it and confirmed it. Creating an alert triggers a confirmation email; the alert becomes active only after you click the confirmation link (double opt-in). We do not send alerts based on your profile, inferred preferences, "similar jobs," or any source other than the search you saved yourself.
3. Sender identity (表示義務)
Every alert email displays the sender information the law requires:
- the sender name and the operating entity (benstaydev — the Waholi operator);
- a genuine postal address of the operator;
- a contact email address; and
- a clear statement of why you are receiving the message (because you created and confirmed the alert).
As a safeguard, our system refuses to send alert mail in production until a real operator postal address is configured — bulk mail is never sent without the legally required address.
4. Opt-out (オプトアウト / 配信停止)
Every alert email contains a one-click unsubscribe link that stops that alert promptly and does not require logging in. Each alert has its own unsubscribe link, so if you created more than one alert, use the link in each alert's email to stop it. We do not send further email for an alert once it has been unsubscribed. For a full stop across all alerts at once, delete your account, or contact support@waholi.jp and we will suppress your address.
5. Consent records
Because alert mail is opt-in, each alert keeps a record that you consented and when (its creation and confirmation timestamps), retained for as long as the alert exists. In line with 特定電子メール法 guidance, while an alert remains on our system we keep its consent record for at least one month after the last alert email sent for it.
If you delete your account, that is an affirmative withdrawal of consent: we remove your alerts (and their consent records) at that point and send you no further alert mail. Because no further mail is sent after deletion, there is no subsequent message whose consent we would need to evidence — so removing the record on deletion does not conflict with the one-month rule, which governs alerts that are still capable of sending mail.
6. Deliverability & suppression
Waholi sends from an authenticated sending domain (SPF / DKIM / DMARC aligned) and suppresses addresses that hard-bounce or file spam complaints, so we do not keep mailing addresses that do not want or cannot receive our mail.
